TERMS AND CONDITIONS

DEPOSIT & PAYMENT

To secure the tour and initiate the necessary booking processes and ground preparations, a non-refundable deposit of 15% is required. The client will receive an invoice along with the payment instructions.

BOOKING AMENDMENTS

If the client or agent wishes to make amendments to an existing booking, such as changing departure dates, air tickets, accommodation, or the number of participants, a handling fee of $50 per booking will be applied. This fee is in addition to the service provider fees.

BOOKING CANCELLATIONS

The final balance payment for the booked tour must be paid no later than 15 days before the tour begins. Bookings made within 15 days of the arrival date must be paid in full

  • Cancellation received 30 days or more before the tour starts: No Cancellation Fees will be charged
  • Cancellation received 20 days before the tour starts: A 15% Cancellation Fee will be charged.
  • Cancellation received 10 days before the tour starts: A 50% cancellation fee will be charged
  • Cancellation received within 48 hours before the tour starts: A 100% Cancellation Fee will be charged

PASSPORTS, VISAS & TRAVEL PAPERS

It is the sole responsibility of the client to ensure that all necessary documentation, including passports, visas, health certificates, proof of vaccinations, and any other required documents, are in order for the countries to be visited. The Company cannot be held liable for any consequences, damages, or claims if the client fails to attend to their documentation and related matters before the tour commences.

TRAVEL INSURANCE

All customers traveling with Perfect Planners Safaris must have fully comprehensive travel insurance. The insurance policy must be valid from the date the initial order is placed and should provide coverage for cancellation before departure. Additionally, the insurance must include comprehensive medical, evacuation, and repatriation coverage during the travel period.

BAGGAGE

The client is solely responsible for their baggage and personal belongings at all times, and the Company cannot be held liable for any loss or damage. The client is allowed one bag weighing no more than 15 kg (backpack or soft bag only) and a daypack. The Company reserves the right to refuse excess baggage. Please note that different baggage regulations may apply for trekking tours and certain “bush” flights.

RISK

The client acknowledges that all tours involve a certain level of personal risk and adventure. Neither the Company nor its agents can be held responsible for any injuries, loss of life, or property damage incurred during the tour. The client agrees to indemnify the Company and hold them harmless from any claims arising from such incidents. The client assumes full responsibility for all risks involved.

 AUTHORITY ON TOUR

The decisions made by the Company’s guide/driver during the tour are final and must be adhered to by the client at all times. The client is required to comply with the laws, customs, and foreign exchange regulations of all visited countries.

MARKETING

The Company reserves the right to use any photographs and videos taken during the tour for marketing or advertising purposes. By participating in the tour, the client gives their consent for the Company to use these materials and retain the copyright for them.

PRICE CHANGES

Our prices are based on the current national park fees and taxes. However, there may be potential changes to tax regulations in East African countries in 2016. If the authorities decide to increase fees and taxes, even if they are not currently scheduled, we may have to adjust our prices accordingly.
